Role Purpose

Hermanus Child & Family Services (HCFS) is seeking a motivated, organised and hands-on Shop Manager to manage the day-to-day operations of the HCFS Family Tree Charity Shop.

The Family Tree Charity Shop plays an important role in supporting the work of HCFS. The Shop Manager will be responsible for ensuring that the shop is professionally managed, financially accountable, welcoming to customers and donors, and operated in a manner that maximises its contribution towards the organisation’s programmes and services.

The successful candidate must be comfortable working in a busy retail environment, supervising staff and volunteers, managing stock and cash, engaging with members of the public, and taking ownership of the overall appearance and performance of the shop.

Key Responsibilities

  • Manage the daily operations of the HCFS Family Tree Charity Shop.
  • Open and close the shop and ensure that all operational procedures are followed.
  • Provide professional, friendly and efficient customer service.
  • Supervise, guide and coordinate shop staff and volunteers.
  • Manage staff schedules, attendance and day-to-day task allocation.
  • Receive, sort, assess, price, display and manage donated goods and stock.
  • Ensure attractive, organised and effective merchandising and shop displays.
  • Maintain appropriate stock-control systems.
  • Identify slow-moving stock and recommend appropriate sales or promotional initiatives.
  • Ensure donated goods are handled respectfully and appropriately.
  • Manage till operations, cash transactions and card payments.
  • Complete and verify daily cash-ups.
  • Maintain accurate records of sales, petty cash, expenses and other shop transactions.
  • Ensure cash and financial documentation are managed in accordance with HCFS procedures.
  • Assist with banking and reconciliation processes where required.
  • Monitor shop income and expenditure and provide regular performance information to the HCFS Director.
  • Assist in developing initiatives to increase shop sales, donations and community support.
  • Promote the shop through community networks, campaigns, special sales and events.
  • Build positive relationships with customers, donors, volunteers and community partners.
  • Respond professionally to enquiries, complaints and donor requests.
  • Maintain a clean, organised, safe and welcoming retail environment.
  • Monitor equipment, furniture and facilities and report maintenance requirements.
  • Ensure compliance with HCFS policies, health and safety requirements and organisational procedures.
  • Participate in HCFS meetings, activities and fundraising initiatives when required.
  • Perform other reasonable duties associated with the effective operation of the shop.

Minimum Requirements

  • Grade 12 (Matric) or equivalent qualification.
  • Previous experience in retail, shop management, sales, stock control, hospitality or a similar customer-facing environment.
  • Experience supervising staff or volunteers will be advantageous.
  • Good numeracy skills and confidence working with cash, tills and basic financial records.
  • Basic computer literacy, including email and Microsoft Office applications.
  • Good organisational and administrative skills.
  • Strong communication and interpersonal skills.
  • Ability to communicate professionally with customers, donors, staff and members of the public.
  • Fluency in English and Afrikaans. isiXhosa will be advantageous.
  • Ability to work independently and take responsibility for the day-to-day operation of the shop.
  • Willingness to work during the shop’s operational and trading hours and to assist with occasional special events where required.

Working Hours

Working hours will be aligned with the operational requirements and trading hours of the HCFS Family Tree Charity Shop, in accordance with applicable employment legislation.

Remuneration

Remuneration will be aligned with HCFS salary scales, qualifications and relevant experience. Further details will be discussed with shortlisted candidates.
